Introduction
The University of Amsterdam (‘UvA’) attaches great importance to the careful handling of personal data. This privacy statement is intended to inform applicants about the processing of personal data during our organisation's recruitment and selection activities. This privacy statement may be amended from time to time to comply with applicable laws or to reflect updated business practices. Please check this page regularly for any changes.
What will my personal data be used for?
  • To process your application and share your details with the manager who has a vacancy;
  • To inform you about other vacancies within the UvA if you have created a job alert;
  • To compile anonymised statistical data such as the number of applicants per vacancy and the turnover rate of vacancies;
  • To adapt and improve the recruitment and selection process;
Only if there is a ‘business need’ will your CV be kept in portfolio. Your consent will be asked for this.Should you change your mind after giving permission, you can withdraw your permission via our online self-service system accessible via UvA's intranet.

The legal basis for processing as part of the recruitment and selection procedures is our legitimate interest to carry out the recruitment and selection.
What personal data is collected from me?
Primarily, we collect your personal data through cover letters and CVs, but the collection of personal data also takes place in other ways. During the job interview, notes may be taken of the answers you give, the course of the interview and the impression we get of you. Finally, a screening or assessment may be part of the application procedure. The personal data we may process from you may include the following:
  • Name, address, place of residence;
  • Phone number, e-mail address;
  • Education;
  • Work experience;
  • References;
  • Conversation notes;
  • Results assessment.
How long will my data be kept?
We keep the data of your application during the recruitment and selection procedure. Pursuant to the General Data Protection Regulation (AVG), we delete all your data and all identified characteristics from our database no later than four weeks after finishing or completing the application procedure. We may also retain your data for a longer period. We do this, for example, if we expect a suitable position to become available soon. For this, we first ask your permission and use a maximum period of one year after completion of the application procedure. After termination of the term, your personal data are automatically deleted.
Who do we share your data with?
To ensure that the recruitment and selection procedure runs smoothly, we may engage subcontractors and suppliers (such as data processors) who provide services or carry out assignments on behalf of the UvA. This might include assessment agencies, recruitment agencies and validation agencies. We always conclude an agreement with external agencies in which we make arrangements regarding the manner and conditions under which your personal data will be processed.
How do we secure your data?
We have taken appropriate technical and organisational measures to prevent the loss of personal data or unlawful processing. These include security through the use of secure login procedures, firewalls and maintaining log files. Thus, your personal data can only be viewed by employees who are authorised to do so on the basis of their position.
What are my rights?
At any point in the recruitment and selection process, you can invoke your rights under the AVG. UvA facilitates access to applicant data through an online self-service system accessible via UvA's intranet for the applicant. Here you can make corrections or delete personal data yourself.
