Privacy statement UvA Staff Housing

Privacy is a highly important topic for the University of Amsterdam (UvA), and therefore the UvA handles your personal data with care. In this Privacy Statement we describe how personal data is processed and how the privacy of all individuals who take part in UvA Staff Housing is protected.
Who is responsible for processing my personal data?
The UvA is the party responsible for processing your personal data within the meaning of the General Data Protection Regulation (‘GDPR’).  The UvA is located at Spui 21, 1012 WX Amsterdam. Our postal address is PO Box 19268, 1000 WX Amsterdam.

Which (categories) of personal data are processed?
After your UvA Staff Housing application the following personal data of individuals will be processed:
  • Full name
  • Email address
  • Date of birth
  • Gender
  • Nationality
  • Address
  • Position title (e.g. Postdoc, PhD candidate)
  • Faculty and institute
  • UvA employment contract start and end date (if applicable probation period)
  • Maximum housing budget
  • Accommodation needs
  • Household composition (who will accompany you to the Netherlands)
  • Salary indication
  • Whether the UvA Staff Housing fee has been paid and the date on which this payment was completed
For what purpose will my personal data be processed?
The UvA will process your personal data for the following purposes:
  • To match you to appropriate housing.
  • Mediate between individual and housing partner.
  •  To evaluate our services.
What is the legal basis for the processing of this data?
The UvA processes your personal data based on an agreement.
Will my personal data be shared with third parties?
The UvA will only share your personal data with its housing partners to offer suitable accommodation within the UvA's housing contingent. The UvA has written agreements with its housing partners and faculties to ensure the proper processing and security of your personal data.
In specific cases, such as rent arrears or property damage, the housing partner may share relevant information with the UvA’s Staff Housing team, who may then contact the tenant directly. In addition, during campus checks, when a housing partner raises an issue (e.g. tenant does not respond to verification request), the Staff Housing team may verify with the respective faculty or institute whether the tenant is still affiliated with the UvA.
Will my personal data be transferred to countries outside the European Union?
No, your personal data will not be transferred to countries outside the European Union.
How will my personal data be secured?
The UvA takes appropriate technical and organizational measures to protect your personal data against unauthorized access, loss and any form of unlawful processing. For example, access to personal data is restricted to authorized personnel, and encryption measures are applied where applicable.
How long will my personal data be stored?
We will not keep your personal data for longer than is necessary for the purposes for which we use it. Where possible we will pseudonymize or anonymize the data. Your personal data will be stored for 3 years after the end date of your housing contract.
How can I exercise my privacy rights?
